The Work

Big Canoe’s annual board elections involve mailing ballots to approximately 3,500 property owners across the country, managing a multi-week voter communication campaign, and ensuring every eligible owner has a fair opportunity to participate. I owned the full administration of this process, covering everything from ballot design and mail production through voter support, communications, and post-election reporting. Tabulation was handled separately.


What the Role Involved
Ballot and Mailer Design Designed the full ballot packet and accompanying mailer, produced print-ready files, and coordinated production and mailing to 3,493 property owners.
Voter Support and Issue Resolution Managed all incoming voter inquiries across phone, email, and direct contact, troubleshooting non-delivery, address issues, and process errors. Of 51 ballots requiring service, the majority were due to ballot packets being classified as marketing mail and therefore not forwarded — a finding that was documented and folded into future communications to property owners.
Multi-channel Voter Communications Planned and executed a full election communications campaign across direct email, social media, and the POA website from early July through the close of polls in September. This included candidate profile distributions reaching 3,300 reads each, a standards of conduct email reaching 3,536 reads, and a forum video email reaching 3,181 reads.
Analytics Dashboard Built a Smartsheet analytics dashboard aggregating ballot support data, website performance, email metrics, and social media reach across the full election cycle, providing leadership with a clear picture of voter engagement at every stage.

Why It Matters

Running a community election is a governance responsibility, not just a communications project. Property owners are making decisions that affect their homes and their community, and the integrity of the process depends on every eligible voter having the information and access they need to participate. Managing this well means anticipating problems before they become complaints, documenting what went wrong and why, and building a process that improves each cycle.

The analytics dashboard was not a requirement. It was something I built because having a clear record of what worked, what did not, and where voters dropped off is what makes the next election better.
